Who we are
DayOne Builds (Pty) Ltd, registration number 2026/316994/07, trading as DayOne and the DayOne AI Professional Network ("DayOne", "we", "us"), of 4 Glenhurst Road, Welcome Glen, Cape Town 7975, is the responsible party under the Protection of Personal Information Act 4 of 2013 ("POPIA") for the personal information described in this policy.
Our Information Officer is Liesel Bester, who can be reached at liesel@dayone.build or at the address above.
What this policy covers
This policy explains how we handle personal information collected through:
- our website, dayone.build;
- DayOne events, including our industry events and the State of AI Delivery round table; and
- the State of AI Delivery in South Africa campaign, including the survey, the report, the prize draw and the DayOne newsletter.
The survey has its own short privacy notice, which sits alongside this policy and gives the detail for survey respondents.
What we collect
On our website. Information you send us through a contact or sign-up form, such as your name, email address and message. The site uses analytics or cookies: basic technical information such as your browser type, the pages you visit and how you arrived, collected through Base44 Analytics. See “Cookies” below.
At events. Your name, email address, organisation and job title when you register or are invited, and any dietary or accessibility needs you choose to tell us so we can look after you. Photographs and video may be taken at events (see “Photographs and recordings” below).
Through the campaign. Your survey answers and, only if you choose to give them, your name and contact details; your entry into the prize draw; and your email address if you sign up for the newsletter. The survey privacy notice sets out exactly what the survey asks and how answers are used.
We do not intentionally collect special personal information (such as health, religious or biometric information) other than dietary or accessibility needs you volunteer for an event. We use those only to cater for you and delete them after the event.
Why we use it
- To run the survey and publish the report. Survey answers are analysed and published only in anonymised, aggregated form. No individual or organisation is identified in the report.
- To run events. To manage registrations and invitations, plan catering and access, and send you event information.
- To run the prize draw. To conduct the draw, contact and verify the winner, pay the prize, and keep the records the Consumer Protection Act requires.
- To send the DayOne newsletter, only if you have opted in.
- To answer your enquiries and run and improve our website.
- To meet our legal obligations.
We process personal information on the grounds POPIA allows: your consent; the steps needed to provide what you asked for (such as an event place); our legitimate interest in running and improving DayOne's research and events, where that does not override your rights; and compliance with the law.
Newsletter and direct marketing
We send the DayOne newsletter and other marketing emails only to people who have opted in. Every email has an unsubscribe link, and you can also unsubscribe by emailing liesel@dayone.build. Unsubscribing does not affect anything else, such as a survey response or prize draw entry.
Who we share it with
We do not sell personal information, and we never share it for anyone else's marketing.
We share it only with service providers who process it for us, under confidentiality obligations and only on our instructions:
- Typeform, which hosts the survey;
- an independent analyst engaged by DayOne to analyse the survey results;
- Base44, an AI website build and host platform;
- Resend, a newsletter platform; and
- Luma, an event registration platform.
Sponsors of the State of AI Delivery campaign and our media partner, The Open Letter, do not receive any personal information. Sponsors receive only anonymised, aggregated survey results.
We may disclose personal information where the law requires it, for example to the National Consumer Commission for prize-draw records.
Information stored outside South Africa
Some of our service providers, including Typeform, store information on servers outside South Africa, including in the European Union and the United States. We use only providers that are bound by data protection laws or contractual terms giving protection substantially similar to POPIA, as section 72 of POPIA requires.
How we protect it
We keep personal information in password-protected accounts with access limited to those who need it. Survey contact details are separated from survey answers before analysis. If we become aware of a security compromise affecting your information, we will notify you and the Information Regulator as POPIA requires.
How long we keep it
- Identifiable survey information and prize-draw records: no longer than three years, then deleted or anonymised. Anonymised survey data, which cannot identify anyone, may be kept to compare results in future editions.
- Event registration information: no longer than three years after the event. Dietary and accessibility information is deleted after the event.
- Newsletter subscriptions: until you unsubscribe.
- Enquiries: for as long as needed to deal with them, and no longer than three years.
Photographs and recordings
We may photograph or film DayOne events and use the images to report on and promote our events and research. We will tell you at the event when this is happening. If you would prefer not to be photographed, tell the DayOne team at the event, and if an image of you is published that you want removed, email liesel@dayone.build and we will remove it from our channels.
Cookies
What the site needs to work. Our hosting platform, Base44, sets the cookies and browser storage the site needs to load, stay secure and remember your settings. Our forms use Cloudflare Turnstile to check that a submission comes from a person and not a bot, and Cloudflare processes technical information about your browser and device to do this. These tools cannot be switched off without breaking the site.
Visit analytics. Base44 records the pages viewed, the website you came from, how long your visit lasted, and whether you arrived through an AI assistant. We use this information only in aggregate.
Button clicks. When you click a contact button, we record which button you clicked, the page it was on, and any campaign tag in the link. Our server turns your IP address, browser type and the date into a one-way code and keeps only part of it. We do not store your IP address or browser details, and we delete click records after 90 days.
Advertising measurement. The site loads the Google Ads tag, which sets cookies so that Google can tell us when someone who clicked one of our ads later sends an enquiry through our contact form. The tag does not report the pages you view, and we do not pass the details you enter in our forms to Google. Google processes this information under its own privacy policy (policies.google.com/privacy) and may store it outside South Africa. You can manage ad personalisation at myadcenter.google.com.
Campaign tags. If you reach the site through a link that carries a campaign tag, we record that tag with any enquiry you send.
Your choices. You may block or delete cookies and clear site storage in your browser settings at any time. The site will still work, but the bot check must run before you can submit a form.
Changes. We will update this clause before we add any other analytics or advertising tool to the site.
Your rights
Under POPIA you have the right to:
- ask whether we hold personal information about you, and for a copy of it;
- ask us to correct or delete it;
- object to our processing it, including for direct marketing;
- withdraw your consent at any time, without affecting processing that took place before you withdrew; and
- complain to the Information Regulator (inforegulator.org.za).
To exercise any of these rights, email our Information Officer at liesel@dayone.build. We will respond within a reasonable time and in any event within 30 days. We may need to confirm your identity first. Some information, such as prize-draw records, must be kept for the period the law requires even if you ask us to delete it.
Children
Our website, events and campaign are intended for adults. We do not knowingly collect personal information from anyone under 18.
Changes to this policy
We may update this policy as DayOne grows. The current version, with its effective date, will always be on dayone.build. If we make a significant change to how we use information we already hold, we will tell the people affected.
